Consider a motion to support the proposed changes to the Park and Recreation Advisory Board's 2025 meeting schedule, including moving to an every-other-month format and shifting the meeting date to the third Monday of each meeting month.
Summary Report:
City Code establishes that board and commission meetings "shall be held at a fixed time, on a fixed date and in a fixed place as shall be determined by the council (Sec. 2-287)." In 2022, the City approved a monthly calendar that established meeting dates for boards and commissions, with some minor adjustments made throughout the year. Additionally, most meetings moved to a 6:00 PM start time in the City Hall Council Chambers.
With recent code changes tied to board and commission governance work, the City Council will now approve annual meeting schedules for most boards and commissions.
For 2025, staff propose transitioning the Park and Recreation Advisory Board meetings to an every-other-month schedule, beginning in January, and shifting from the first Monday to the third Monday of each meeting month.
Rationale for the Proposed Changes:
* Efficiency: An every-other-month schedule will help maximize meeting productivity by focusing on key agenda items and discussions.
* Coordination: Adjusting the schedule aligns the Board's meetings with those of other boards and commissions while ensuring a consistent meeting location in the City Hall Council Chambers.
* Planning: Establishing a consistent schedule in advance allows for improved planning and communication with Board members, staff, and the public.
